What to Expect – Web Design

We have two different platforms for website design; WordPress and our Business Builder Platform. Once we determine which platform makes the most sense for your business goals, here is what you can expect during the process for each.

    Initial Set-up Phase (1+ week)

    The initial phase is where we get organized! We have several pieces of information that we need from you to get started. They are:

    1. WordPress Terms of Service (TOS) Agreement – this outlines the services and terms
    2. Client Information Sheet for WordPress –While we know this is a lot of information for you to provide, we appreciate as much detail as you can. This is a critical worksheet, which helps us understand exactly what you want in your web design. Do the best you can on this, and if you need help, give us a call.
    3. Content – Unless you specifically hire us to write your content, you will need to provide it to us. This includes all written material for each page. Don’t worry – if you aren’t a great writer, we can “Wordflirt” it for you, but we need a place to start. We will also need a copy of your logo, headshots, product images and/or any additional images you wish to include. We cannot start the design phase until this requirement is met.
    4. Initial Invoice – We will invoice you for the first half of the project. We utilize FreshBooks and will send you a link to view your invoice. Payment is required to begin your services.

    Phase One: Design (2 -3 weeks)

    1. Based on the requirements and desires you’ve outlined in our Information Sheet, our designer will create a homepage design for you to review. You will provide your feedback and we will work with you and our designer until we have an approved homepage design.
    2. Once the homepage design is approved, our web developers will begin working on it on a development site. A development site is a subdomain of ours in which we access to architect, design and test your site before we go live.
    3. Our designer will then design the “inner page” look. These are pages such as your “about” or “contact” page.
    4. We will present the inner page look to you and seek your feedback and approval

    Phase Two: Development (3-4 weeks)

    • Our developers work behind the scenes to develop your website. We have over 100 development steps in our process to ensure the best architecture, performance, security and design.
    • Once we feel it’s ready for you to review, we will show you the development site for your feedback.

    Phase Three: Complete and Go Live (2 weeks)

    • After we receive your feedback and edits, we will make them on the site.
    • Our developers will port over your site to your live domain and make the appropriate setting adjustments in the account where you bought your domain. Once this is live your old site (if relevant) will be gone, so please make any screenshots or copies of it that you want before this time.
    • We will test the new site for all functionality to make sure it ported over correctly
    • We will create a schedule for regular backups that will be sent to our data storage account in case something goes awry.
    • You will be invoiced for the final payment and your first month of maintenance

    Maintenance

    • Every month we take care of your website. WordPress, the site theme and plugins we use require regular updates. If you don’t update your website on a regular basis, you are vulnerable to hackers and malware. Trust us – we’ve been there.
    • You’ll receive a monthly report telling you how many website visits you had (Google Analytics), what we did for your site, as well as, what types of security issues have been discovered in the land of WordPress. We like to keep up with what is going on and it may or may not interest you. We like to share.
    • You will receive a monthly, recurring invoice from our FreshBooks account. We prefer that you set up your credit card to automatically pay it so that it’s more convenient for both parties. We can help you with that, if you want.

    2. Choose Your Template – we have many professional templates that are already designed and ready for you. You simply pick the one you like and imagine YOUR images and text instead of the template. Then you tell us which template you’d like to use.
    3. Client Information Sheet for Business Builder – This worksheet does not require as much information as the WordPress sheet. It will help us to understand what your color preferences are and give us additional information that we won’t have on the template.
    4. Content – Unless you specifically hire us to write your content, you will need to provide it to us. This includes all written material for each page. Don’t worry – if you aren’t a great writer, we can “Wordflirt” it for you, but we need a place to start. We will also need a copy of your logo, headshots, product images and/or any additional images you wish to include. We cannot start the design phase until this requirement is met.
    5. Initial Invoice – We will invoice you for the design fee and the first month of maintenance. We utilize FreshBooks and will send you a link to view your invoice. Payment is required to begin your services.

    Phase One: Design (1-2 weeks)

    1. Based on the requirements and desires you’ve outlined in our Information Sheet, and the elements of our template, our designer will create your website using your content. (Note: due to the affordable nature of this platform, we need to follow the template as closely as possible to avoid an additional charge).
    2. You review the design and provide feedback and edits.

    Phase Two: Complete and Go Live (3 days)

    • After we put the finishing touches to your website, we will point your domain to it and you will be LIVE.
    • We will test the links and contact forms for proper connectivity
    • Your old website (if applicable) will no longer be available so be sure to take any screenshots or copies before we get to this point
    • You will receive an email requesting that you set up a password for your Business Builder website. You can use the drag and drop editor to make any future edits, to blog or to change just about anything you want. We only keep 5 backups and it is backed up every time you “republish” your site, so be mindful of this as we may not be able to restore a back up if you don’t like your edits! There are helpful instructions if you need help learning how to use the builder.

    Maintenance

    • Maintenance includes hosting, regular backups, security, and reporting
    • Each month you will receive an email with your website activity
    • You will be set up with a recurring invoice from our FreshBooks account and we prefer if you set up your credit card for automatic payment. We can help you do this, if you would like.

That’s it! You have a shiny new website!

A few things to note:

  • We do NOT host email, nor do we guarantee email deliverability. It is your responsibility to make sure your email works and that emails from the contact forms are getting to you.
  • We tried to make this information as streamlined as possible. Your individual needs may differ from what we’ve outlined here. That’s ok! We will work with you to get you what you need. This document is intended as a guideline, not set in stone!
